Uploading Records & Mapping Variables

For CSV campaigns, this is the most important step. Getting the file format right and mapping columns correctly is what allows the agent to personalise every call.

Step 1 - Name Your Campaign & Select an Agent

Before uploading records, you complete two quick configuration fields.

Campaign Name

Use a name that tells you the audience, product, and timeframe at a glance. You will be searching for this campaign weeks later - make it findable.

Credit Card Reactivation – May 2026
Insurance Renewal – South Region – Q2
KYC Reminder – Pending Borrowers

Select Agent

The agent you select controls the entire conversation - what it says, how it handles objections, which language it speaks, and how it classifies call outcomes. Make sure the agent is already published before creating the campaign.

The agent's configured variables must match the column names in your CSV. Mismatches are the most common cause of personalisation failures - check both before uploading.

Step 2 - Upload Your CSV

Drag and drop your CSV file into the upload area or click to browse. The minimum required field is a phone number. Any additional columns are passed as variables to the agent during each call.

Recommended File Format

Include a header row with descriptive column names. Below is a typical collections campaign CSV:

phone_numbercustomer_nameamount_duedue_date
919876543210Priya Sharma₹4,50015 Jun 2026
919123456789Rahul Mehta₹12,00020 Jun 2026
918765432109Anita Verma₹2,20018 Jun 2026

Pre-upload Checklist

Run through this before every upload to avoid wasted calls and mapping errors:

Phone numbers are in the first column and include country code where required
Column headers are in the very first row - not row 2 or below
No duplicate phone numbers
No empty rows in the middle of the file
File is saved as .csv - not .xls or .xlsx
Column names match the variable names configured in your agent
Invalid or incorrectly formatted phone numbers result in failed call attempts that still count against your campaign records. Clean your list before uploading.

Step 3 - Map CSV Columns to Agent Variables

After a successful upload, RevRag AI displays a mapping screen. Each column in your CSV appears on the left; you match it to the corresponding agent variable on the right.

CSV ColumnAgent VariableNotes
phone_numberPhone NumberRequired. Must contain a valid dial-able number.
customer_namecustomer_nameUsed in the greeting: "Hi Priya, I'm calling about…"
amount_dueamount_duePassed to the agent for collections scripts.
due_datedue_datePassed to the agent for date-specific messaging.

Why Correct Mapping Matters

Accurate mapping is what turns a generic call into a personalised one. With correct mapping, the agent can say:

"Hi Priya, I'm calling regarding your pending payment of ₹4,500 due on June 15. Can I help you arrange that today?"

Without correct mapping, the agent falls back to generic placeholders - reducing trust and call conversion rates significantly.

After mapping, click Validate to confirm RevRag AI can resolve all variables for a sample record before proceeding.
